Document Control Solutions for the Municipal Physical Planning Office

Aim: To design document control solutions for the Municipal Physical Planning Office in Santo Domingo, Villa Clara, Cuba, to strengthen document management.
Methods: In this descriptive study, the results were obtained through induction-deduction, analysis-synthesis, documentary analysis, and survey.
Main results: Two document control solutions were designed for the office: the document classification model and the retention chart. Additionally, a commission for documentary evaluation was set up.
Conclusions: Several unfavorable conditions were observed in document management at the Central Archive Office belonging to the organization. The study also identified the absence of a physical space to store documents, as well as the absence of management systems to automatize document transference processes and digitize document series. Various document management solutions were designed to help minimize the organization’s risks and improve management.
